The Front Desk Support Assistant is the first person that members will see when entering the office. In addition to being a greeter, the role accepts mail and deliveries, coordinates food deliveries for meetings, assists Member Support with incoming calls to the main NAIS number and emails sent to the organization. This role will also assist with data entry and updates of member records across all membership platforms. The Front Desk Support Assistant must have thorough knowledge of the organization’s products and services in order to achieve customer satisfaction. Through trends in emails or phone calls, helps identify ways to better the member experience.

Key Responsibilities Include:
Greeting, welcoming, and announcing guests
Receiving, sorting, and distributing daily mail/deliveries
Assisting with meeting room set-up and food coordination
Maintaining the organizational-wide calendar
Ensuring that the reception area is tidy and presentable
Supporting the Marketing team during the CRM launch
Assisting Member Support during high volume and/or team meetings by answering NAIS mainline calls and responding to emails in a timely manner
Answering phone calls to the main NAIS line (when available), including answering inquiries, directing callers to the appropriate resources, and helping to resolve and escalate complaints to ensure caller satisfaction.
Responding to emails in assigned inboxes.
Maintaining membership related data by adding/updating CRM.
Making outbound calls for follow-up and to support member success.
Assuming other responsibilities, as assigned, such as processing mail list requests and sending renewals.
The Ideal Candidate Will Have:
Strong customer service orientation
Strong written and oral communication skills
Strong telephone etiquette skills
Effective organizational, multitasking, and prioritizing skills
Strong attention to detail and accuracy skills
Ability to manage multiple projects at once and to move projects ahead efficiently
Proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint) and comfort working in databases
Professional attitude and appearance
1+ years administrative/membership support experience interfacing with internal and external customers desired
Private school experience a plus
NOTE: The Front Desk Support Assistant position is not eligible for travel or telework.
