Paragon Events Inc. is seeking an enthusiastic, mission-driven and experienced Membership Coordinator who will thrive in a challenging and dynamic work environment. This position will play a key role in building and conveying the value of our clients association to our members; maintaining membership records; identifying and cultivating new members; and developing marketing campaigns for our programs and resources.
The Membership Coordinator shall be responsible for recruiting new members, re-selling dropped (canceled) members, retaining and servicing existing members, selling sponsorships and advertising as an added value opportunity for our members, and performing other activities related to the organization’s business, all as prescribed by the Executive Director.
Duties and Responsibilities:
Selling new memberships
Re-selling memberships to dropped (canceled/lapsed) members
Maintaining excellence in customer service for increased member retention
Responsible for managing and servicing existing members and follow-up calls to recently sold accounts to ensure retention.
Prospecting for new members by identifying and qualifying new leads
Conducting both field and telephone presentations to prospective new members
Setting goals annually with the Executive Director, manage the annual Membership budget, including revenue and quarterly review of both income and expenses.\
Selling memberships in accordance with the organization’s “investment structure,” unless otherwise approved in advance by the Executive Director
Maintaining accurate call/visit records and up-to-date prospect lists and generates weekly activity and forecast reports.
Represents the association at events, trade shows and functions where membership sales potential exists.
Coordinating the organization’s monthly membership committee meetings
Attending other committee meetings to get a more comprehensive understanding of projects and activities the organization is currently working on and maximize opportunities for the membership department through collaboration with other departments and committees. Coordinate membership initiatives with all departments.
Assist in the coordination of the annual membership drive
Selling sponsorships for Association events and programs as needed
Facilitating the participation of members for association events and activities
Maintains and nurtures relationships with both new and existing members.
Utilize current AMS system to track memberships, maintain accurate contact information for members, assist members with resetting log in credentials, issue renewal notifications and invoices, pull membership reports, track dues, renewal dates, etc.
Responsible for maintaining an up-to-date database including input of records, list pulls and creating reports, and staff training, etc.
Establishes the overall strategy and the annual calendar of membership events and programs.
Establishes the strategy and timeline for all membership mailings and email communications including acquisitions, renewals, invitations, general communications and annual fund appeals for legislative activities.
Responsible for creating and implementing any direct mail and digital promotions for membership acquisition, renewals, etc.
Administer systems for maintaining and building the individual membership programs, including membership levels, acquisition, renewal, and annual fund appeals.
Draft membership strategies and all membership materials for approval, including thank you letters, renewal notices, web content, emails, and special marketing materials as needed.
Responsible for coordination with Communications and Marketing Team regarding association internet publications, membership materials for events and any other marketing needs.
Assists in overall success of membership programs and success of the Association.
Demonstrates a commitment to the Association mission in all work produced.
Performs other duties as assigned
Essential Job Function and Qualifications:
Bachelor's degree preferred.
Proven membership development/fundraising track record in the non-profit field including:
Increasing membership recruitment and engagement
Engagement of young professionals (21 - 40)
Strategies building higher level membership (increased value)
Three or more years of direct experience in building and maintaining a membership program.
Proficiency in AMS programs or similar database management system preferred.
Proven ability to work on a variety of projects simultaneously, strong project management skills, and an attention to detail.
Demonstrated literacy in MS Word, Excel & Outlook.
Strong writing, editing and communications skills.
Vision, creativity and an entrepreneurial spirit, combined with strong project management,
Organizational and communication skills are important in this position.
Willingness and ability to travel (up to 30%)
