General Description: The Services Coordinator is a full-time, non-exempt employee who works in conjunction with all Solid Waste Association of North America (SWANA) staff, but primarily Membership, to support SWANA members and the SWANA membership department.
Membership objective: To support members and potential members in joining and maintaining their relationship with SWANA. Reports to Membership Program Manager.
Primary recipient for incoming calls on the Membership line – provide responses to caller inquiries as knowledge allows and/or to distribute callers within the organization using informed rather than blind transfers.
Assist in responding to emails received in the membership inbox as well as handling emails sent to you individually, within the parameters identified within SWANA’s Personnel Manual/Employee Handbook.
Process (enter data into the database, process credit cards) membership applications and renewals received via all media.
Make New Member welcome calls as assigned.
Develop proficiency in extracting data and running reports from the iMIS database as needed to respond to internal questions.
Participate in the administrative tasks of the Membership Department.
Distribution of incoming mail and packages on a daily basis.
Primary recipient for incoming calls on the main telephone line with responsibility to provide responses to caller inquiries as knowledge allows and/or to distribute callers within the organization using informed rather than blind transfers.
Provide administrative support (e.g., basic data entry and clean-up) in iMIS membership database.
Provide in-office administrative support for SWANA events as assigned. The Services Coordinator may be asked to travel and work on-site at SWANA events held elsewhere in North America.
Other duties as assigned.
Current proficiency with Microsoft Office (Word, Excel, Outlook).
Proficiency or ability to become proficient in using SWANA’s association-management system (AMS) database software, including online member join system. Experience with iMIS is a plus.
Excellent oral and written communications skills.
Able to maintain good interpersonal relationships with staff, members, customers, and partners.
Excellent organizational, administrative and time-management skills.
Comfortable working in cross-functional teams.
