The primary purpose of this position is to support the Events Operations Department (EOD) and specifically the Registration & Customer Service (R&C) division with overall event operational efforts, services and outreach for the BIO International Convention, CEO & Investor Conference, BIO Investor Forum, BIO World Congress, as well as providing general registration and customer service for conferences and meetings, programs and international efforts assigned to the EOD throughout the year.
This position reports to the Director, Event Operations & Registration.
Have a complete understanding of registration processes and policies associated with all events assigned to EOD.
Acts as first point of contact and provide basic Registration & Customer Service for all events managed by the R&C of EOD, including but not limited to emails and phone calls.
Helps with onsite exhibitor registration for the BIO International Convention – training temporary staff, distribution of badges and registration materials.
Responsible for logging in wire and check payments for all registration events runs through the contracted registration system.
Responsible for following up on outstanding balance due invoices on registration reservations and reporting to the appropriate team lead for the event any difficulties or challenges in collecting balance due revenue.
Responsible for any special billing through the BIO AMS for special invoices needed (bulk sales) for all events.
Back-up support for the Senior Manager with regards to the Wrike timeline management system.
Provide assistive support to the Senior Manager concerning special staff credentialing needs for the BIO International Convention as needed.
Responsible for maintaining the Customer Service division’s timeline within Wrike.
Assist the Director with the writing and completion of appropriate SOP’s for all events as needed and requested by the Vice President.
Maintain a historical paper copy binder (document solution) and digital document management for registration and customer service.
Assist, as needed, with exhibit operations and basic exhibitor questions and customer service for all events where there are exhibits.
Assist the Senior Manager with the gathering and writing of instructional materials for the Customer Success Team (CST) manual for the BIO International Convention.
Helps to support the training efforts of the CST in general convention and exhibitor rules/regulations as well as software and computer programs relative to registration and the booth partnering systems.
Assists with the messaging CST sends out daily and weekly to exhibitor contacts.
Participates in the ‘Red Zone’ meetings at the end of each work week, a weekly briefing to focus on the weeks’ challenges and develop solutions as a group quickly.
Assists, as needed, with the specialty blocks and service kits for the specialty zones: Academic, Digital Health & Patient Advocacy and provides limited assistance to the other BIO departments or groups coordinating those unique sections.
Acts as a liaison for Exhibitor Booth Partnering to assist exhibitors and pavilion organizers with the overall booth partnering process as needed.
Works as part of the liaison team between registration & customer service and the exhibit sales team.
Works as part of the liaison team between the exhibit sales digital vendor & registration and customer service.
Pre-event and onsite administrative support for smaller EOD events (as an example, Board of Directors meetings, IP Counsels Committee Conference [IPCC]), as needed.
General administrative support for Registration & Customer Service and EOD, as needed.

General working knowledge of meeting registration practices
Valid US Passport or equivalent document for international travel
College degree or equivalent years of experience
2+ years of related work experience
Non-profit or membership organization experience a plus.
