AIA is seeking a forward-thinking, energetic individual with a passion for events to join the Corporate Events team and support AIA’s portfolio of events, including multi-day conferences and receptions at international air shows. This is a full-time position located in Arlington, VA.
The ideal candidate for the Coordinator position must demonstrate the ability to multi-task; be responsive to the needs of the membership, providing all the members with outstanding customer service; be exceptionally organized and have the ability to prioritize, with the flexibility to shift work and priorities, as needed. Must be a pro-active and creative thinker; a problem solver with the ability to “think on your feet.”

Core Duties and Responsibilities:
This position reports directly to the Vice President, Corporate Events and interacts with AIA’s executive staff and senior company representatives.
Creating event websites and registration pages in Cvent
Tracking registration and compiling data into easy to read charts for registration updates
Assisting association members in various registration requests such as providing receipt, refunds or modifications
Creation and accuracy of meeting materials such as name badges, table tents, etc.
Assisting in the creation and editing of marketing emails for events
Responsible for the packing and tracking of all meeting supplies shipped to and from the meeting location
Managing the attendee app for each event by inputting the schedule, speaker bios, and helpful information for attendees
Monitoring hotel room blocks for all events
Managing and tracking speakers’ requirements, i.e. transportation, hotel rooms, dietary restrictions, AV, presentations, etc.
Creating online surveys to evaluate each meeting and event; gather and disseminate the results received
Assisting with events on-site and provide superior customer service to AIA members
Organizing and maintain the corporate events inventory closet. Order new supplies as needed
Processing invoices in a timely manner and update event budgets
Qualifications and Experience:
Excellent interpersonal, research, and communications (verbal and written) skills
Must be proactive, highly organized and detail oriented
Proficiency in Microsoft Office
Ability to travel
Availability to work evenings and weekends as needed
Knowledge of Cvent, Adobe Creative Suite and WordPress a plus
Bachelor’s degree required or equivalent experience required
