The North American Millers Association (NAMA), is seeking a part-time Administrative Assistant to join NAMA at the NAMA headquarters office in Arlington, VA. This part-time position will provide administrative support to NAMA staff. A successful candidate must be highly organized, with extreme attention to detail; possess confidence to interact with all levels of staff within the NAMA, volunteer leadership; be self-motivated with good problem-solving skills; and able to work effectively as a member of a team and independently. A minimum of 3-5 years of administrative office experience, is required. A bachelor’s degree and association experience are preferred. Strong customer service skills, interpersonal and communication skills, both written and verbal, are essential, and working experience with PC programs and database management is essential.
Office & Administrative
Welcome office visitors and guests
Maintain office supplies, equipment and arrange for maintenance on equipment as needed.
Maintain central office files such as accounting and financial files, databases, and meeting minutes, and other organization materials.
Monitor and field inquiries by phone and email or other communications
Process in-coming and outgoing NAMA mail and deliveries (courier/FedEx/UPS)
Maintain calendars, plan and schedule meetings, conferences, teleconferences, and travel for NAMA staff as needed
Create check requisitions, process expense reimbursements, and manage accounts with office vendors
Serve as resource person to staff and provide support services to staff in scheduling and completing work.
Maintain member and other contacts information lists
Support production of and edit NAMA’s weekly newsletter; The Weekly Grind.
Assist in setting-up NAMA conference/event registration systems and assist in managing registration process and lists.
Provide support for NAMA conferences and committee meeting planning and execution
Compile and maintain files and records of media placements as well as pertinent association resources and historical information, association statistics, and reports.
Update and manage website.
Assist staff with development of PowerPoint presentations.
Manage social media sites (Facebook, Twitter, LinkedIn).
This position will not require travel
Physical Demands and Work Environment:
The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. Occasionally, the individual may have to lift and move equipment, boxes, mail and other items weighing up to 40 pounds. He/she will be required to constantly use a computer and other office machinery such as a copy machine, printers, etc. The person in this position frequently communicates with members and non-members through e-mail and phone conversations. The person in this position must be able to exchange accurate information in these situations. He/she must have ability to learn processes, principles and procedures.
Skill Requirements & Qualifications:
2-5 years administrative experience
Proficiency in MS Office (Word, Excel, PowerPoint, etc.)
Good organization and communications skills
Ability to handle confidential and sensitive information with discretion
Ability to work well with association members, directors, and staff
