The American Academy of Periodontology (AAP) is seeking an individual to join the team as Project Coordinator.
The American Academy of Periodontology is a 7,500 member professional organization for periodontists, dental specialists in the prevention, diagnosis, and treatment of diseases affecting the gums, supporting structures of the teeth, and placement of dental implants. Our vision is to be the voice of periodontists as the collaborative partner to achieve optimal oral health. Our office is located just off of the Mag Mile, close to Water Tower Place and the Museum of Contemporary Art, which hosts a farmer’s market once a week during the summer months. Reporting directly to the Director of Continuing Education and the Manager of Scientific and Clinical Affairs, this role will be responsible for a variety of project-based assignments with competing deadlines and will also support and collaborate with various other Managers and Directors at the Academy.
Collaborates with MarCom team to promote the scientific competitions, and grants via a variety of media. Prepares materials for Annual Meeting and formats abstracts for publication
Assists with planning and staffing of workshops and other scientific symposia
Attends committee meetings and conference calls to provide administrative support such as drafting agendas and meeting minutes
Compiles research and assists with Board reports
Issues detailed correspondence, assists with production of agendas and related materials, and coordinates onsite logistics for annual committee meeting
Updates and manages online submission platform, troubleshoots technical issues, and communicates with member applicants
Assists with the management of volunteers and helps compile, edit, and proofread materials for onsite programs
Attends Annual Meeting, providing full-time operational support for sessions, hands-on workshops, and other events
Provides member support and customer service pertaining to all continuing education credit inquiries, meeting attendance verification, and follow-up
Assists with planning and logistics for meetings with state and regional periodontal societies and other organizations and corporate entities
Required Skills and Abilities:

Skilled in project management, the ability to prioritize, multi-task, and meet deadlines with limited Supervision
Excellent writing skills with proofreading proficiency as well as strong verbal communication
Customer service-minded and attentive to detail
Comfortable working under tight deadlines in a fast-paced, team environment
Positive attitude, strong interpersonal skills, and the ability to communicate with professionals at all levels
Adaptable to multiple supervisors and variable management styles
Bachelor’s Degree required. Majors in Journalism, Business, Communications, Marketing, or English desired.
1+ years of related experience or the desire to begin a career within the Association industry. Prior work experience in a professional association, meeting planning, and/or scientific/academic setting a plus
Ability to work early mornings, late evenings, and weekends periodically and travel at least once a year to support our Annual Meeting
Proficiency with Microsoft Office Suite and aptitude for web-based applications. Experience with Personify360 and online submission platforms a plus
