The Administrative Coordinator role at FCC Services is a part-time, temporary position, working approximately 28 hours per week. This assignment is needed from May – December 2019. The position may have the opportunity to transition into a full-time role in 2019 depending on the needs of the department.
This position reports to the Director of Event Management and receives day to day work responsibilities and requests from the Meeting Planner and Gettysburg Sr. Consultant to coordinate program details for our Gettysburg events. We’re looking for someone who is organized, detail-oriented and can juggle multiple priorities and concurrent deadlines with a high degree of accuracy. The person in this role will have strong administrative and technical skills.
Uses established tracking and reporting systems; keeps Gettysburg Sr. Consultant and assigned Meeting Planner informed of changes, issues, due dates and milestones pending and completed. Establishes and meets deadlines within project framework.
Provides project support and oversees specific logistics for Gettysburg programs, to include, but not limited to:
Creates agenda, obtains approval and posts on GLE web and Cvent sites
After obtaining instructor, facilitator and guide assignments from Meeting Planner, sources instructor and guides availability; secures and confirms instructors, facilitators and guides
Prepares and submits client invoices, reconciles and processes all vendor, instructor, facilitator and guide invoices
Ensures Client Agreements are obtained from Consultant or Sales person for contracted events and placed in specified areas.
Accurately prepares, proof-reads, posts and distributes agendas, PowerPoints and any other related materials.
Create transportation agenda and instructor/staff/guide meal selections and provides to Meeting Planner
Sets up, proof-reads, verifies and activates registration for event in CVENT
Creates program evaluations in Zoho survey forms
Creates materials for handout site, upload website to attendee messages
Creates, prints, assembles and ships attendee badges and tent cards
Prepares and processes Continuing Professional Education credits (CPEs) for Gettysburg programs.
Handles shipment of program materials, orders supplies, prepares and ships attendee certificates (if applicable).
Prepares, sends and distributes evaluations.
Minimum 3 years of experience in program coordination role
Strong digital literacy to include proficiency in Microsoft Word, Excel and PowerPoint
Strong verbal and written communication skills
Experience in Cvent registration system or similar registration database
Strong attention to detail; work well under pressure while meeting tight deadlines and adjust to changing priorities.
Able to meet deadlines under pressure and adjust to changing priorities, in some cases managing several tasks at once
Able to work independently as well as part of the team in a fast paced, growth environment
Able to maintain a consistently high level of productivity and accuracy, juggling multiple priorities and manage time efficiently.
