Primary focus includes planning the logistical aspects of high-quality and cost-effective activities – both educational and committee – in accordance with ACCME and AMA guidelines. Assists Department Director with meetings, activities and events as assigned.
Basic Functions and Responsibilities
Manage logistics for assigned meetings (up to 500 people) including but not limited to hotels, convention centers, vendors and support personnel; budget development; meeting room assignment and setup; food and beverage; audio visual; utilities; and staffing.
Solicit, review and negotiate vendor contracts for assigned meetings up to $25K.
Solicit, review and negotiate contracts for assigned meetings up to $25K.
Solicit, review and negotiate contracts in conjunction with Department Director for the Annual Meeting venues, hotels and vendors.
Develop RFPs where applicable.
Prepare project work plans, along with the appropriate department, to manage the production of assigned projects.
Maintain adherence to deadlines, and communicate challenges to Department Director.
Assist in writing, proofing and editing marketing copy and supporting text.
Assist in establishing a productive relationship with members, staff and volunteers, and enhancing the image and reputation of NASS as a pre-eminent, high-quality medical specialty society.
Oversee and manage travel management system, to include the addition of new participants to the system and ensure proper coding.
Develop and accurately maintain historical / statistical database for all meetings assigned, and generate reports as requested.
Other duties as assigned by Department Director to contribute to the effectiveness, efficiency and growth of the office and the meeting services department
Minimum Education/Experience Requirements
Bachelor’s degree or equivalent work experience.
Three to five years of meeting planning required.
Experience with managing meetings of 200+ people required.
Experience managing meeting budgets of $250K in revenue + $200K in expenses required.
