GSA has 5,500 domestic and international members, an employee base of approximately 22 staff, and a budget of approximately $7M. GSA seeks an individual who will organize and implement all activities associated with logistics for the Annual Scientific Meeting and other events. This position also supports the membership unit with management of the awards program.
You will support all aspects of the planning, implementation, management and on-site execution of the Annual Scientific Meeting. Lead all logistics for the mobile app, affiliates, interest groups, pre-conference workshops, shipping, signage, first aid, security. Support staff with the function sheet process and assist with development of meeting specifications. Serve as secondary staff support for the development of all meeting related collateral. Manage the planning, implementation and management of other GSA meetings as needed; including contracting, logistics, material creation, onsite support, and budget reconciliation. This includes supporting meetings held at GSA Headquarters.
Serve as the primary contact for meeting registration. Work with contracted registration vendors, temporary staffing and volunteers. Staff contact in the AMS for reporting and management of all registration activities.
Execute the awards process with the Leadership Services Coordinator. Serve as point of contact to the selection committees and assist them in completing their roles and responsibilities. Maintain history and liaison with other departments to promote the awards program.
Serve as the primary customer service agent for the meetings division. Assist with additional needs for all membership related inquiries. Interface with members through the call-center and e-mails.
Minimum of 1 year of prior related experience in an office environment and meeting logistics. Strong organizational skills, with the ability to establish priorities, manage multiple demands and projects, and meet deadlines. Communicate in a concise and effective manner. Demonstrated ability to provide excellent customer service in a variety of situations (face to face, on the phone, email). Able to take initiative, use sound judgment, and work effectively and cooperatively with all levels of staff and constituents. Must possess an intermediate working knowledge of Microsoft office products including Word, Excel, and PowerPoint.
Knowledge of Association Management Information Systems (preferably Clear Vantage); SharePoint, Excel. Experience with meetings management platform eShow.
