We are looking for an Administrative Assistant to work with our Research and Exam Development teams. We are two affiliated national nonprofit organizations with shared office space and staff (that is, many staff working for both organizations, but with just one supervisor), located in Chicago’s River North neighborhood. We provide professional development opportunities for dental assistants and other dental auxiliaries, such as testing, professional certification and online education; we also conduct research to promote the profession and public health. I. Essential Duties and Responsibilities:
A. Exam Development (55%) • Under the direction of and in collaboration with the Director, Research or the Psychometrician, Exam Development perform the following exam development tasks: o Review new exam items o Enter edits as needed and requested in exam item project o Ensure exam item classifications (e.g., outline), graphics and attributes are assigned appropriately within the item project o Item reviews: ? Enemy item checks within exam item projects ? Plagiarism checks within exam item projects o Item references: ? Update old exam item references in preparation for exam committee meetings and identify exam items that no new reference can be found for exam committees to research ? Verify exam item references o Check exam items for: ? Appropriate content ? One best correct answer ? Enemy items ? Correct answer key ? Appropriate graphics ? Appropriate exam outline/content code ? Spelling and grammar ? Plagiarism ? Incorrect distractors ? Metadata ? Bias • Find and/or create graphics/images to be used with exam items, upon request
• Exam Publication o Conduct exam publication QC processes including but not are limited to verification of: ? Scoring (Pass/Fail Checks) ? Codes, correct answers, graphic and logits (spreadsheet checks) ? Screen language verification • Assist with maintaining archive of exam histories • Assist with generating copyright poolbooks • Keep Exam Development Smartsheets up-to-date
B. Exam Committee Meeting Responsibilities (20%) • Under the direction of and in collaboration with the Director, Research or Psychometrician, Exam Development: o Track/Maintain exam committee member documentation ? Maintain exam committee member spreadsheet, as requested ? Process reimbursement checks for committee members and meeting hotel bills ? Email signed Participation Agreements to the exam committee members ? Prepare and distribute continuing education letters ? Current CVs/Resumes o Assist with creating and reviewing exam committee poolbooks o Ensure all assigned materials are complete for meetings o Order all food for exam committee meetings o Secure bathroom/office access keys o Notify staff and building security of exam committee meetings o Prepare and mail New Committee member packets or exit packets, as needed o Respond to exam committee member inquires, as needed o Update meeting tracking spreadsheet o Assist committee members during exam committee meetings o Assist in facilitating the meeting (e.g., technical support for committee members) o Attend committee webinars/conference calls when needed o Archive records from exam committee meetings o Help maintain electronic archive of exam development documentation
C. Score and QC Exams (10%) • Conduct exam results/certificates text checks against printed exam results and certificates from the Certelligence • Maintain archive of exam results and certificates • Update exam passing rates spreadsheet • Sort/aggregate exam comments for Comment reports • Perform VUE Import QC scoring check and import into Certelligence, as needed • Complete exam results import/scaling checks, as needed • Communicate with Director, Research or Psychometrician to troubleshoot weekly scoring discrepancies • Responsible for bringing any abnormal findings to the attention of the Director, Research or Psychometrician as they occur
D. Miscellaneous (15%) • Make recommendations for continuous quality improvement of policies and procedures • Maintain Standard Operating Procedures manual for this position • Assist with audit documentation for accreditation, as needed • Assist with research projects as requested • Aid with Marketing reviews (e.g., exam outlines, exam results, exam applications), as needed • Liaise with other departments within DANB, as needed • Complete scanning projects for archives, as needed • Participate in research/writing projects, as needed • Perform other tasks as directed by Director, Research
III. Education and/or Experience: • Bachelor’s degree required • A minimum of two years of work experience in an office setting required • Microsoft Office proficiency required
