The Annual Meeting Manager directs Annual Meeting operations through research, design, planning, coordination, evaluation of logistics, education, event technology, and communications for a society of academic general internists dedicated to advancing a just system of care in which all people can achieve optimal health. Additionally, the Annual Meeting Manager provides logistical support to Board Retreats or other ad-hoc events.
Duties & Responsibilities:
Serve as liaison to Program Committee to design, plan, and execute Annual Meeting programming and events; onboard members during planning retreat and host both monthly and subcommittee calls
Manage processes for submission, peer review, acceptance, and scheduling of content for meeting
Curate content for balance of education, networking, and ancillary events
Administer CME and MOC applications, ensuring CME/MOC policies are followed; manage CME/MOC application process for attendees
Systemize meeting structure, schedule, and event database system setup for 400+ events
Develop presenter resources and host webinars to improve content quality
Draft, curate, and edit preliminary and final conference programs, scientific journal conference proceedings.
Serve as staff team lead coordinating all aspects of the execution of the society’s annual conference
Collaborate on marketing campaigns, identify key target audiences and strategies to engage new markets for submission and registration targets
Coordinate VIPs and plenary speaker logistics and collaborate on drafting plenary scripts with Awards Committee and staff
Manage and optimize $700k meeting budget; appropriate expenses to investments to yield greater ROI
Negotiate multi-year vendor contracts to establish long-term partnerships
Enhance programming to support society’s strategic goals
Manage registration process in collaboration with Meetings & Events Specialist
Manage conference website for timely, accurate and clear content.
Produce event mobile app (Zerista) in collaboration with Marketing Manager, Community Manager, Meetings and Events Specialist. Project manage production timeline; oversee data migration from abstract submission system (ScholarOne) to mobile app.
Orchestrate data migration between abstract database and mobile app, established overarching educational tracks and simplified visual display; leverage member profile interests to suggest content in mobile app; maintained data integrity.
Meetings & Events Specialist; coordination with many other staff in managing project timelines, primary coordinator with logistics contractor.
Strong organization, time management and multitasking skills – able to handle multiple concurrent, complex tasks.

Strong communication skills, verbal and written in order to communicate effectively internally and with physician leaders and members

High familiarity with Microsoft Office, including Word, Excel, Outlook, and Power Point. Facility with a variety of software programs including web content management, association database management systems, marketing software such as Informz and survey tools such as Survey Monkey, Qualtrics.
College degree or higher in a related field and 5-7 years equivalent experience or equivalent combination of education and experience.
