Construction industry trade association (SMACNA) seeks part-time Office Assistant (20 hours/week) for its Capitol Hill Office.
Act as support staff for busy Capitol Hill Office by performing a variety of routine clerical, reception, and mail room functions. Duties include but are not limited to:
Communication – Act as office receptionist greeting and directing visitors; answering and routing calls;
Record keeping - Maintain office filing and record keeping systems;
Document Preparation - Produce letters, memos, spreadsheets, and other materials as directed;
Meeting support - Coordinate and prepare for meetings and special events by arranging for refreshments, catering/meals, and necessary equipment;
Calendar Maintenance – Maintain and update office calendar (desk and electronic); communicate with Capitol Hill Office staff regarding updates, changes to calendar;
Mail - process incoming and outgoing mail including preparation and shipping of recognition materials to members;
Office Management –
Arrange for routine maintenance for office and surrounding grounds (including quarterly pest inspections, repairs/upgrades, etc.), communicate with cleaning contractor regarding special and routine requests;
Order and restock office supplies.
Other general administrative support duties as necessary.
Exceptional communication skills, written and oral, including attention to detail;
Accurately prepare documents and proofread material;
Knowledge of software applications typical in an office environment;
Ability to perform basic research and report results;
Knowledge of filing and record keeping systems;
Entry level website management;
Ability to think creatively;
Works cooperatively and effectively with staff, members and other external parties
