The U.S. Naval Institute seeks a Conferences and Events Manager to provide logistical and administrative support for annual conferences and events and grow to manage a portfolio of annual conferences and events. The Institute has expanded its portfolio of conferences and events over the past few years and plans for continued growth, particularly with the construction of a new conference center at the Institute headquarters. Assist with logistics for conferences and events, including arrangements for speakers and VIP guests (hotel, flight, transportation, etc.), venue, housing, audiovisual needs, food and beverage
Draft official speaker invitations and correspondences
Manage and communicate speaker and program updates
Schedule and manage award winner recognition at conferences and events
Manage onsite registration and staffing at all conferences and events
Manage communications and benefit fulfillment for sponsors of conferences and events
Serve as lead staff person and expert on event management software (Cvent) and Luminate CRM and educate team members on features and usage and make recommendations for improvement
Build, manage, and maintain content on the Naval Institute website and conference websites
Develop marketing graphics and assist with the execution of marketing strategies for conferences and events
Attend and execute all conferences and events
Other duties as assigned
Qualifications and Capabilities
Two – four years of professional experience and Bachelor’s degree preferred
Experience in conference and event planning preferred
Fastidious attention to detail, organizational skills, project management capability, and ability to meet deadlines
Excellent communication skills, including writing, editing, and proofreading
High level of creativity, ability to think outside the box, enthusiasm, and support of the mission of the U.S. Naval Institute
Superior customer service skills, discretion, diplomacy, and tact
Demonstrated initiative, problem resolution skills, and entrepreneurial approach
Ability to work in a fast-paced, team-oriented environment
Proficiency with Microsoft Office, including Outlook, Word, Excel, and, especially, PowerPoint
