Job Summary The American Academy of Sleep Medicine Foundation (AASM Foundation) is a not-for-profit 501(c)(3) charitable and scientific organization that was established by the AASM.?We have a full-time opportunity for a coordinator. In this role, you will coordinate the award program activities of the AASM Foundation to achieve its goals and objectives. As an ideal candidate, you have at least two years of related association committee management experience, including agenda preparation and meeting minutes. You pride yourself in your strong administrative skills and can adapt easily to changing priorities. You also take initiative while practicing sound judgment. Responsibilities and Duties - Coordinate award programs: Build online award applications, announce awards, collate applications, coordinate the review process, inform applicants of funding decisions, coordinate/send payments at appropriate intervals, request progress reports, release funds at specified times, and close out awards when projects are completed.
- Serve as staff liaison to review committees: Oversee the preparation of agendas and supporting materials for conference calls, coordinate and schedule committee calls, ensure conflict of interests are disclosed and handled appropriately, conduct meetings, ensure that minutes are transcribed accurately, and complete necessary follow-up in a timely manner.
- Prepare and disseminate promotional materials and award announcements for all award programs.
- Assist with compiling information and data for the annual report.
- Respond to inquiries, via phone and email, regarding award programs or other AASM Foundation related activities.
- Lead award tracking: Create spreadsheets and summaries necessary to track funded awards, create surveys to follow-up with award recipients at various time intervals and analyze and report award outcomes data.
- Assist with development initiatives and projects as necessary, such as campaign mailings, donor database maintenance, and fundraising efforts.
