The Water Environment Federation is seeking an Exhibition Operations Coordinator whose primary responsibility is to provide service support for WEFTEC exhibitors; administer communications to WEFTEC exhibitors and contractors; manage exhibitor records and directories for WEFTEC; and provide administrative support for WEFTEC and exhibition operations and staging.
Provides exhibitor customer service and sales support.
Assists the Director, Exhibition Operations with development of exhibitor services materials and projects and day-to-day exhibition operations.
Prepares, proofs, and manages routing schedules for exhibitor lists for print and electronic media for WEFTEC.
Maintains and updates WEFTEC exhibitor website content.
Develops and schedules e-mail blasts for WEFTEC.
Responsible for weekly contractor reporting of exhibitor data for WEFTEC.
Responsible for data entry/review of all exhibitor directory submissions for WEFTEC.
Maintains exhibitor database, paper and electronic files, oversees development of reports, and manages department report list.
Travels to WEFTEC to assist in exhibition management office.
Assists with WEFTEC booth audit and data entry of new booth space orders.
Assists with follow up calls to unpaid exhibitors.
Assists with WEFTEC contractor invoice coding and processing.
Assists with Specialty Conference support as needed.
Bachelor’s degree preferred.
2 years’ conference or exhibition administrative experience or other high-level administrative experience.
Proficient using MSOffice, Personify or similar AMS database, Adobe Acrobat, Episerver, and e-mail.
Deadline and detail oriented with accurate follow-through.
Strong customer service orientation.
Excellent proofing and editing skills.
Ability to travel and work at conference site including weekend work/travel, usually 1 time per year.
Experience in a non-profit association.
Fonteva database experience.
Experience using Exhibition Management Systems, such as Expocad, A2Z or Map Your Show.
Knowledge of IAEE and ASAE best practices.
