The Water Environment Federation is seeking a Sponsorships Coordinator who provides operational support for sponsorships for specialty conferences and WEFTEC. Administers communications, sponsorship agreements and invoices to sponsors. Works with the Corporate Development and Conferences & Education teams to create sponsorship promotional materials for WEFTEC and Specialty Conference sponsorships. Coordinates sponsorship fulfilment for WEFTEC and Specialty Conference sponsors. Provides sponsorship-related support for Director, Exhibition Operations and Corporate Development sales staff.
Provides operations and administrative support for WEFTEC and specialty conference sponsorship program, including contracts, agreements, invoicing, collections, marketing, and fulfillment support.
Coordinates with sponsors and sales representatives to administer sponsorship logistics, fulfillment and/or to provide service.
Develops and maintains sponsorship records and sales reporting.
Collaborates with multi-department teams to develop sponsorship pricing, brochures, and marketing material. Develops and implements EnVision sponsorship sales tool.
Coordinates with show contractor and exhibitions manager to administer onsite signage and logistics, including sign orders, proofs, approvals, onsite reviews, and walk-throughs for WEFTEC.
Develops and produces ROI reports for WEFTEC and specialty conferences.
Collaborates with WEFTEC exhibition manager to create sponsorships; coordinates ordering of sponsorships giveaways for WEFTEC.
Assists in budgeting sponsorship expenses for WEFTEC and specialty conferences and produces weekly sales reports for specialty conferences.
Travels to WEFTEC to handle onsite sponsorship fulfillment.
Other duties as assigned.
3+ years sales, sales support, administrative, marketing or other directly relevant experience.
Previous business to business sales experience; Exhibit/sponsorship experience preferred.
Excellent people skills with strong customer service orientation.
Deadline and detail oriented with accurate follow-through.
Excellent project, organizational and time management skills.
Able to handle multiple projects and meet deadlines.
Excellent verbal and written communication skills including good phone and email manners.
Creative problem-solving abilities.
Computer literate in Microsoft Office 365, Teams, SharePoint, Word, and Excel; Map Your Show, Fonteva, and Adobe Photoshop with basic knowledge of graphic file formats, appropriate uses and terminology.
Ability to work as part of a team while achieving individual goals.
