Seeking an administrative position working at a national trade association in new offices located near the Tysons Galleria in McLean, Virginia, conveniently located near the Greensboro Metro Station?

The International Foodservice Distributors Association is seeking an Administrative Coordinator who will provide proficient administrative support and assistance to the Association Staff. We seek an individual that is highly self-motivated, professional, capable of managing their workload, and able to prioritize tasks in what sometimes can be a fast-paced environment.
Provide administrative support for Association Staff;
Support Staff in assigned project-based work (programs, events & member services);
Become familiar with association management software (iMIS), you will be required to access records and provide general assistance with queries and list management (experience working with iMIS a plus);
Work both autonomously and with direction as needed in collaboration with team; and
Responsible for coordinating and providing general office services.
Additional Responsibilities and Duties may include:
Provide administrative support for event planning and programming;
Assist with project management for association events (currently tracked in Excel);
Assist with arrangements and handling of logistics for committees or other meetings;
Interact with the organization’s volunteer leaders;
Assist where needed in monitoring registrations and hotel rooming lists at Association events;
Assist, as needed, in uploading information and maintaining conference apps;
Assist where needed with setting up and monitoring webcasts and conference calls;
Provide administrative support for membership activities;
Assist with proofreading and editing along with website maintenance (knowledge of HTML is a plus);
Type and edit correspondence and reports;
File, retrieve and disseminate correspondence and materials;
Maintain calendars and schedules;
Make travel arrangements, as needed;
Answer and direct callers who need assistance;
Receive guests and deliveries, direct as appropriate;
Help with the coordination of mailings to our members and other customers;
Provide support with resolving maintenance issues with the office and the building, and keeping common areas clean;
Interact effectively and pleasantly with internal and external customers alike;
Some travel to association events is required; and,

No direct supervisory responsibility.
Knowledge, Skills and Abilities Required:
High technical proficiency with MS Office Suite (Word, Power Point, Excel and Outlook) and Internet Explorer are required;
Must be highly organized with a demonstrated ability to manage and prioritize multiple projects;
Must have a very high attention to detail;
Able to initiate action and follow-through with minimal supervision;
Maintain professionalism in interpersonal, verbal, and written communication; and
Must have strong professional demeanor and customer service skills.
Education and Experience Requirements:
Minimum 3 years of strong administrative experience.
Supporting multiple team members is a plus.
Experience working in an Association a plus.
