The ideal candidate will be a self-starter, with strong time management, and organizational and technology skills. Finance data entry or processing experience preferred, but not required. This position will serve as the first point of contact for members and visitors, therefore, providing outstanding service in a warm and professional manner is key. Greeting visitors, providing administrative support to the staff and processing member inquiries and registrations are the primary functions of this position.
Inform and assist with the implementation of strategic and annual operating plans.
Provide outstanding customer service and support. Specifically, handle calls and email requests from members, nonmembers, and society officers regarding membership information (e.g. renewals, password resetting, and profile updates) and other ACOFP activities.
Finance & Admin
Complete data entry projects and assist with processing dues, refunds, receipts and other financial data entry primarily for the national, state, auxiliary and foundation contributions.
Assist in the Accounts Payable process; enter invoices, contact vendors, mail checks, and maintain the AP files.
Help in processing registrations, as needed, for ACOFP meetings and conventions.
Coordinate call to meetings, conference call/Zoom announcements and committee minutes files.
Provide support for the committees including appointment/acceptance communication and attendance.
Provide support for the Congress of Delegates including data entry, credentialing and onsite set up.
Provide administrative support for the Presidents Banquet and other assigned events.
Order the plaques and awards for the Annual Convention and state society meetings.
Maintain the telecommunications system access to employees and update out of office recordings for general mailboxes.
Maintain the office supplies and ensuring the operation of the equipment including copier and fax.
Manage ACOFP’s lobby and reception area. Greet and direct all members and visitors. Ensure completion of paperwork, sign-in and security procedures.
Provide administrative support to all departments.
High School Diploma or equivalent, Bachelor’s Degree preferred.
1+ years of experience in an office environment, preferably in a multi-functional support role
A quick learner with excellent communication, time management, and organization skills required
Proficient in MS Excel and MS Word - Technologically savvy a must
Strong data entry experience preferred
A desire to learn and assist our team and members
Ability to think creatively and strategically independently and as part of a team
