Program Coordinator, Bright Futures National Center (Part-Time, Grant-Funded)

If so, the American Academy of Pediatrics (AAP) is seeking a Program Coordinator, Bright Futures National Center (BFNC) to provide administrative and program support to the BFNC to coordinate and implement related activities and outcomes, including developing resources for BFNC multidisciplinary audiences; providing technical assistance to pediatricians and other pediatric health care professionals; and developing and monitoring cooperative agreements, grants, and subcontracts/consulting agreements.
Schedule: 22.5 hours/week.
Qualifications needed:
- Bachelor’s degree in public health, business administration, health administration, education, child development, health education, or related field, or an equivalent combination of relevant education and work experience required.
- At least two years’ related experience in coordination and implementation of multiple projects required, including coordinating and facilitating meetings and budget tracking/coordination, preferably in a health-related setting or association.
- Experience with website maintenance and working with databases strongly preferred.
- Experience with community outreach and grants highly desirable.
- Excellent organizational, time management, oral/written communication, and critical thinking skills required, including strong writing and proofreading skills.
- Must be detail-oriented, able to handle a heavy workload, work both independently and as part of a team, think creatively, manage multiple projects simultaneously, collaborate effectively with various internal and external constituents, and promote and maintain a positive and cooperative team-oriented work environment with a commitment to equity, diversity, and inclusion.
- Some overtime, evening/weekend work, and travel required.
Some tasks include:
- Manage the budget/consultant tracking system and the development of BFNC contracts for subcontractors, sub-recipients, and consultants. Process expense forms, check requests, credit card statements, and invoices. Provide monthly reports to supervisor. Maintain a system to track deadlines, deliverables, and submission of invoices. Communicate with subcontractors, sub-recipients, and consultants related to budget and invoices.
- Assist with and coordinate administrative and select programmatic components of BFNC activities, including educational activities and presentations (PowerPoint presentations, webinars, and conferences); note-taking; developing agendas and minutes; meeting planning and coordination; attendee travel logistics; communicating with participants; and obtaining evaluations for activities.
- Provide information, resources, and appropriate follow-up in response to BF-related requests. Identify national, state, and American Academy of Pediatrics (AAP) resources that can enhance technical assistance efforts.
- Maintain a tracking system for BFNC activities (e.g., technical assistance requests, presentations, and materials dissemination).
- Participate in developing and offering training and technical assistance materials on select BF health promotion/disease prevention topics (e.g., health equity, oral health, mental health/substance use, and healthy weight) in collaboration with AAP staff and BFNC partners.
