ABOUT THE POSITION
The Business & Finance Administrator owns the organizational details and has a complete understanding of the operations within ISA and collaborates with other departments to develop organizational plans and policies.
Working closely with the ISA President and ISA staff this role is responsible for the day-to-day operations to ensure smooth and efficient operations with organizational effectiveness. The role requires the utilization of good business sense, sound operational practices and fiscal accountability for supporting all ISA’s programs.
Reporting to the President, this position is in constant contact with internal and external stakeholders and therefore must conduct themselves in a poised, professional and ethical manor at all times. Working collaboratively with the President, this role is involved in confidential strategies as they relate to financial, legal, staffing, and functional processes.
Essential Duties Functions
Financial:
- Perform accounting including processing invoices and expense reports, entering and tracking customer payments, preparing bank deposits, generating invoices and tracking credit card activity.
- Owns the process of credit card processing including, gateways, merchant account and connections between all systems. (i.e. iMIS, Cvent, Shopify, etc.)
- Provides leadership with monthly and annual reviews of organization’s financial status and progress.
- Leads budget preparation inclusive of annual pricing model needed to achieve expected budget results (i.e.: membership dues, registration, booths, sponsorship needed, etc.)
- Works with outsourced accounting to develop the monthly operational plan and yearly tax filings.
- Reviews monthly financials and reports on areas for improvement and manages proactively to achieve expected budget results.
Human Resources:
- Maintain payroll information including onboarding and termination of staff as needed.
- Process payroll in third party system according to determined schedule.
- Maintain and manage staff benefit programs and insurance including yearly renewal process.
Operational:
- Engage with staff and members daily to support their needs while sustaining a high-caliber customer service.
- Develop and manage consistent workflow for recurring tasks such as membership dues and invoicing; event registrations.
- Oversees and adjusts organization’s processes and operations as needed to ensure an efficient and effective execution of business practices, procedures and policies aligned with the strategic plan.
- Support operations, serving as the conduit to third party vendors including contract negotiation and signing.
IT:
- Primary contact, lead role and subject matter expert for association management system (AMS) and supporting platforms (i.e.: Event software, QuickBooks, etc.)
- Knowledgeable and effective in configuring iMIS database to meet changing needs of the organization and ensuring consistent data flow and management across all areas of the business.
- Maintain customer databases to ensure consistent data flow and management across all areas of the business.
- Develops, manages and provides automated reporting supporting the business as needed.
- Facilitates computer equipment needs of ISA staff including needed acquisition or realignment existing equipment.
Other:
- Makes presentations to stakeholders (members, board, staff) as needed.
- Demonstrates competency in managing/working with diverse groups or individuals while being goal driven with a focus on results and success.
- Performs other functions, duties and tasks as assigned.

LOCATION
This is a fully remote position that would require you to work from your home office whenever not traveling for ISA. However, because of the frequency of ISA meetings and needs for collaboration, we prefer, but do not require that, candidates live with the Northeast (Pennsylvania, New Jersey, Delaware, Maryland) area so we can easily meet as a team.

MINIMUM QUALIFICATIONS
- 5+ years’ experience in a related operations role that can bring immediate value to this position.
- Bachelor’s degree with major course work in Business Administration or Finance (MBA preferred), however, a combination of education, training and experience may be considered when competency in the role is demonstrated.
- Ideal candidate will have 3+ years of professional non-profit experience with knowledge of and experience in non-profit accounting practices, budgeting, financial analysis, compliance, and employee payroll benefits and processes.
- Experience with bookkeeping and human resources is a plus.
