Job Description
Director of Membership & Certification
Our company provides full-service management to trade and professional associations, as well as specialized services including non-profit financial management and event coordination. We are seeking a full-time Director of Membership & Certification to support the Executive Director and Associate Director in maintaining a high level of service to our client. This includes working collaboratively and independently to ensure client satisfaction.
Primary Responsibilities:
- Develops and oversees procedures for membership dues and benefits, and other programs as directed.
- Maintain professional and timely correspondence with staff and volunteer leadership.
- Ensures database integrity and data entry for accuracy.
- Attends Symposium and performs duties such as overseeing the client’s agenda and other duties as assigned by the Executive Director.
- In collaboration with the Meeting Planner and other staff, assist in overseeing hotel rooming lists for volunteer leadership.
- In collaboration with the Communications Department and Executive Director, ensures the client receives excellent customer service and timely notifications of upcoming benefits and deadlines.
- Executes the invoicing of members’ dues, client’s payments and fees in a timely manner. This includes email reminders and monthly recurring dues.
- Assist the Executive Director in the execution of duties as decided by the Board of Directors.
- Ensures Basecamp or similar project management software is kept up to date.
- In collaboration with the Associate Director, oversees the compilation of the annual Membership Directory.
- Oversees timely notifications to members regarding continuing education unit renewals.
- Assists the Executive Director with the execution of the strategic plan.
- Provide administrative support on conference and staff calls, taking notes to distribute to committee members.
- Maintaining adequate supplies of printed materials such as stationery, applications, newsletters, etc.
- Routing correspondence such as calls, mail, e-email, faxes.
- Preparing and mailing/e-mailing association dues billing, recording payments.
- Maintaining and updating member contact information in database.
- Responding to all member inquiries, and requests for information about meetings by phone, fax, email, mail in a timely manner.
- Responsible for running mailing lists of members, coordinating mailings for meetings, newsletters, surveys, broadcast faxing, broadcast emails and other direct marketing.
- Assist with tracking of accreditation information for members.
- Orchestrates educational seminar test runs with speakers and facilitators.
- Prepares and distributes digital communications, social media campaigns.
- Prepare name badges, meeting registration reports as well as handouts and all on-site meeting materials prior to association meetings or conferences.
- Managing and coordinating printing services and shipments prior to conventions.
- Meetings will require out of state travel approximately 3-4 times a year.
Candidate Requirements:
Education & Experience -Bachelor’s degree or equivalent experience. Substantial relevant experience may be substituted for a degree; 2+ years of membership and certification work preferred.
Skills, Knowledge and Abilities:
- Excellent customer service skills.
- Positive attitude with the ability to work under pressure with tight deadlines.
- Ability to demonstrate initiative and eagerness to learn about the industry and proactively respond to concerns of members.
- Ability to understand and consistently meet or exceed deadlines.
- Seeks to continually enhance procedures in order to provide continued efficiency.
- Highly comfortable and fluent in technology such as Microsoft Suite, databases, social media, websites, etc.
- Ability to lift up to 25 lbs., as needed.
- Must be able to stand for 8-15 hours a day, when attending conferences.
Preferred Skills – Association membership and certification experience is strongly preferred.
Licenses – Valid motor vehicle operator’s license and the willingness/ability to use personal vehicle during the course of employment.
Travel – all staff who travel/attend meetings are required to be fully vaccinated against COVID-19, in addition to following all safety protocols onsite and per state/local guidelines.
Job location - This is predominantly a telecommuting position.
