Project Management/Program Development
The Manager, Education Projects helps to ensure effective operations across the Education department and efficient administration of education programs. This includes responsibilities in establishing project plans to capture deadlines and personnel requirements as well as volunteer and committee management, compliance with organizational policies and procedures, and oversight of department finances. The Manager, Education Projects also provides support to the Chief Professional Development and Diversity Officer in executing administrative, operational, and programmatic responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Duties that occupy a major portion of time and importance in the job)
Education Department Administration
- Creates or captures project plans for in-person and online education programs, department projects, and organizational priorities to ensure alignment and feasibility.
- Prepares, reviews, and maintains department standard operating procedures.
- Coordinates department meetings and related communications.
- Leads the development of the department budget, prepares quarterly budget projections, addresses requests from Finance during the audit process, processes department invoices and reimbursement requests, and prepares expense reports for Director of Education.
- Serves as the primary point of contact for the Education department with the ASH Customer Service team and responds to inquires sent to education@hematology.org.
- Maintains department compliance with ASH administrative policies (procurement, travel, and document retention, for example).
- Regularly reviews and coordinates updates to the webpages related to the department’s initiatives.
- Serves as the department expert in the use of ASH technologies including but not limited to SharePoint, Financial Force, Sales Force, Personify, Zoom, Concur, DocuSign, QuestionPro, and the Learning Management System.
- Identifies recommendations for improvement in operational efficiency.
- Coordinates preparation of departmental documents for the quarterly Executive Committee meetings, bi-weekly Officers’ Calls, and ad hoc Continuing Medical Education Committee and Annual Meeting Accredited Education Committee requests.
- Completes other duties as assigned.
Volunteer Engagement
- Supports the Director of Education in their role as the staff liaison to the Committee on Educational Affairs, Program Committee, Annual Meeting Accredited Education Committee, and the CME Accreditation Committee.
- Ensures effective and efficient scheduling of meetings and conference calls.
- Prepares and compiles agendas and other meeting materials.
- Writes meeting minutes and helps to ensure follow-up on approved action items.
- Ensures timely review of committee and subcommittee nominations.
- Provides expertise in the use of technology to support virtual and hybrid committee meetings.
ASH Annual Meeting
- Implements the peer review of the ASH Annual Meeting Education Program, including the recruitment of volunteers, their training, the compilation of their input, and their recognition.
Support for Chief Professional Development and Diversity Officer (roughly 10-20% of the position)
- Schedules meetings for the CPDDO and responds to requests for meetings.
- Implements systems to ensure timely completion of ASH required processes (such as performance evaluation) across the Professional Development and Diversity group.
- Prepares expense reports for the CPDDO.
- Conducts background research and summarizes findings.
- Supports the development and implementation of plans to propose new projects, including needs assessments, financial projections, and external vetting.
- Handles quasi-confidential information.
Other duties as assigned
Required to be vaccinated and be in the office 3 days a week (Tuesdays, Wednesdays, Thursdays)
- Bachelor's degree required
- Minimum of 5 years of project management experience
- Certification or coursework in project management preferred
- Detail orientation, with excellent organizational and follow-through skills
- Experience in the use of online systems for budgeting, project management, other administrative functions
- Excellent oral and written communication skills
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint
- Strong customer service orientation
- Experience in handling confidential information
- Prior experience in a not-for-profit environment preferred
