Excellent opportunity for the aspiring Chief of Operations. NetOne is a for-profit entity that operates like a small trade association. Focus is on industry education, networking, advocacy and shareholder resource development and support.
Function of the Position
This is a critical position on NetOne’s staff team, reporting to the President, responsible for working with the staff team and volunteer leadership (when appropriate) to ensure that NetOne operations are effective and that all initiatives are coordinated and integrated within and outside the organization. This requires a strong understanding of the body of work across NetOne, with a vision for how to modernize programs and systems to ensure they create maximum operational efficiency and shareholder value. The Director will be aware and familiar with key initiatives within the NetOne community to ensure coordination, connection and collaboration with all relevant stakeholders.
Job Duties
NetOne Operations/Project Management
Support the execution of high-level NetOne projects including, but not limited to, the new strategic planning exercise, operating plan and implementation.
Overall responsibility for evaluating, improving and managing NetOne operational and administrative effectiveness and systems, troubleshooting and resolving problems as needed.
Assist and communicate with staff team regarding strategic and tactical decision-making, program management and initiative implementation.
Provide team reminders to ensure key deadlines are met and deliverables are produced in a timely manner.
Research, identify, and/or design new systems as needed to improve team processes.
When appropriate, schedule and attend meetings with key team members and/or volunteer leaders to ensure successful project execution.
Maintain NetOne file library for all projects, organizational contracts and budgeting activities. Includes collection and management of NetOne promotional assets.
Responsible for NetOne marketing activities including social media channels, brand assets, surveying, monthly newsletter creation/distribution, etc.
Responsible for NetOne data related programs: SNAPS evolution, sales figures, vendor rebate reporting, dashboard development, etc.
Implement program coordination best practices among NetOne team members.
Work with internal team to help fulfill requests from NetOne Shareholders.
Engage in relationships with NetOne consultants and non-FTE team members when appropriate, including the areas of finance, HR and IT.
Support the development and implementation of new NetOne Shareholder onboarding process.
Evaluate and implement improved new shareholder and/or vendor partner contracting processes. Includes coordination with President and/or General Counsel to ensure proper processing, renewals, scheduling and archiving of NetOne contracts when appropriate.
Partner with Director, Events and Communication, to manage overall NetOne calendar and ensure all meetings and special events are current and free of industry or holiday conflicts.
Ensure that new NetOne Shareholders and Shareholder company leaders are added to listserv groups and appropriate MS teams.
NetOne Financial Management
Key strategic contributor to planning related to NetOne revenue diversification programs.
Partner with staff team and Alpha Accounting to:
coordinate the annual budget development.
Conduct a monthly review of drilldown reports including flagging concerns and submitting reclassification requests as needed.
execute invoicing including sponsorships and follow up.
ensure staff travel adheres to budget.
review monthly credit card charges, provide summary of charges to President for approval.
onboard new vendors into our account payable system, including communication with vendors and competition of ACH forms.
Vendor Partnerships Operations
Partner with President and staff team to evaluate and implement vendor partner inventory/promotional opportunities.
Assist staff team with onboarding of new vendor partners.
Partner ad management for https://netoneintl.com and NetOne newsletter (reminders, coordination with vendor partners, ensuring all ads are submitted by deadline).
Lead process to gather and upload content for vendor partner pages on https://netoneintl.com.
Oversee/manage content schedule spreadsheet.
Human Resources
Provide Human Resources support including the ongoing responsibility for the following projects:
Create new hire onboarding plans. Train new hires in various software platforms.
Updating HR forms and evaluating overall HR systems and best practices including document archiving/security.
Work in tandem with President to support staff with professional development goals and financial planning for any necessary growth opportunities.
NetOne Team Culture/Planning
Coordinate and execute events (virtual or in-person) including team building activities, team lunches, team planning retreats, etc.

Considerable skill in providing direct administrative and project support to a team. Demonstrated ability to effectively prioritize and manage multiple projects that have participation from various NetOne stakeholders and external allied organizations.
Strong diplomacy skills, and the ability to work quickly get up to speed on new initiatives and work well with others.
Success in prioritizing duties, retrieving information, tracking projects and maintaining schedules. Strong attention to detail and ability to manage tasks proficiently. Must have strong customer service orientation and oral/written communication skills.
Strong decision-making abilities and ability to anticipate problems and problem solve. Ability to interact effectively in an organizational membership environment, recognize and identify member and organizational concerns, analyze issues and concepts to correctly state a problem and develop recommended solutions. Effective proofreading skills.
BA or BS degree in liberal arts, English, communication, business or marketing or related field and 5-7 years of responsible administrative & project management experience or equivalent combination of education and experience is preferred. Some association experience as staff or volunteer is also preferred.
