Job Description:
Provides administrative and operational support across ABA Policy division up to and including Senior Vice President level.
Key Responsibilities:
Perform a variety of administrative duties in support of the department staff including booking travel and hotel arrangements, preparing and processing POs, expense reimbursements, check requests and petty cash vouchers, filing, document scanning, mail distribution, ordering supplies etc.
Exercise discretion and judgment in managing staff calendars to ensure effective use of time; schedule appointments, update calendars based on shifting priorities.
Assist staff with preparing for speaking engagements and outside meetings, including communicating with hosting organizations, keeping staff abreast of deadlines and drafting presentation materials.
Manage logistics for department meetings; including securing lodging (if applicable), managing RSVPs, booking outside venues; submitting in-house catering, communicating logistics to staff and meeting participants; drafting, assembling and distributing meeting materials and managing the day-of meeting logistics.
Assist staff with the preparation of specialized documentation including, but not limited to, formatting testimonies and comment letters, creating outlines and charts, preparing PowerPoint presentations and other items, as needed.
Ensure the timely flow of information between senior level staff and key stakeholders, at times to include answering non-routine correspondence
Maintain committee and working group information in Nimble database and pull member reports at staff’s request
Solve administrative problems by analyzing challenges and identifying innovative solutions to troubleshoot barriers to efficiency
Demonstrate high level customer service skills for a varied clientele including: bankers, government officials, lobbyists and staff
Maintain confidential information
Provide special project assistance as assigned or directed
Provide phone coverage, as needed.
Requirements:
A minimum of three years’ experience in an administrative or project management role supporting senior level staff.
Proficiency in MS Office (Excel, PowerPoint and Word).
Excellent organizational skills with the ability to prioritize workload, multitask and meet deadlines.
Excellent communication skills and attention to detail.
