Position Summary: The Conference Program Assistant supports the Conference and Program Manager and Conference Team with planning the content for PRIM&R’s Annual Conference.
What You’ll Do:
Provides administrative support for the conference planning process (e.g., compile planning materials and workspaces, take notes during planning committee calls, update workspaces, communicate with committee members, including schedule planning calls, sending follow-up messages, etc.).
Creates and maintains the conference agenda.
Manages conference speakers (e.g., create/maintain speaker portal, communicate with speakers, (e.g., sending invitations and planning memos, responding to speaker questions, etc.), , register speakers, obtain speaker content, etc.).
Assist with PRIM&R’s Call for Session Proposal program (e.g., compile/format responses, mark proposals on agenda, etc.).
Assist with PRIM&R’s Poster Presentation Program (e.g., schedule Poster Review Committee calls, compile abstract responses, communicate with poster authors, etc.).
Works on-site at conferences.
Acts as a member of the organization’s customer service team (e.g., answer phones, process registrations, etc.).
What we’re looking for:
1-2 years’ office and/or project planning experience. Customer support experience a must.
Excellent communication, writing, and customer service skills, with the ability to communicate effectively with diverse constituencies across the organization and externally.
Strong attention to detail and accuracy.
Strong organization skills, with the ability to multi-task and effectively manage tasks and competing deadlines.
Ability to proactively anticipate tasks/steps and work independently of supervisor.
Experience with the following software (or similar products) is preferred: Microsoft Office; Fonteva; Cadmium; Survey Gizmo; Google Docs; Basecamp; Zoom Meeting; and Airtable.
Relationships:
Internal: The Conference Program Assistant will work with other PRIM&R departments to ensure proper execution of the conference and so, this individual must be a collaborative team player.
External: Works closely with teams of volunteers/subject matter experts from the research ethics and oversight community, academic institutions, pharmaceutical companies, nonprofits, and more.
Salary & Benefits: The salary range for this position is $42,000 – $48,000 PRIM&R offers a full benefits package, including: medical, dental, 401k, generous paid time off, flexible work schedule, summer hours, commuter and home office equipment support, and professional development support. PRIM&R offers a hybrid work environment.
Travel: The Conference Program Assistant is required to travel to the PRIM&R Annual Conference. Additional travel up to 20%, including travel to the office, on a schedule to be determined, is required.
