The Membership Data & Network Service Manager is responsible for advancing the performance of all data systems with a primary focus on the association management system (AMS), Impexium, and other integrated systems and software. Use your expertise to skillfully manage, optimize and troubleshoot the organization's member database software, collaborating with various teams to design, implement, and enhance the database, dashboard development and data analysis.
Contribute to strategic planning for AMS architecture and growth and play a vital role in ensuring seamless data accessibility for the smooth operation of organizational activities. This position provides general network systems support for routine daily activities, responds to membership database requests, and conducts other duties as assigned. The ideal candidate will possess a strong background in association membership, database management, excellent communication skills, and a keen interest in leveraging data for informed decision-making.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Administers and maintains the member database software, ensuring accuracy, security and efficient data retrieval. Troubleshoots and resolves database-related issues.
Responsible for developing training materials and maintaining comprehensive documentation for database procedures and member services processes.
Develops and implements standard of operation for handling and archiving of all data and systems.
Evaluates current software / platforms and considers transitioning to fit the organization’s growing need specifically regarding the organization’s Association Management System (AMS).
Evaluates the design, selection and implementation of database changes by comparing them with business requirements and design documents. Strategically maps the business needs and communicates and designs the database changes and/or documents required to produce the results required to achieve organizational goals.
Interprets and analyzes data sets to share insights, business intelligence and recommendations to support recruitment, retention and engagement.
Creates and presents custom reports and dashboards for all stakeholders; sharing insights based on data that will ultimately guide strategic decisions for organizational and department goals, initiatives and business decision-making..Using strong membership knowledge and data; guides leadership in the making of essential data-driven internal business decisions and external industry related needs.
Leverages data and analytics and industry best practices to ensure that members can easily navigate each step of their user journey.
Performs electronic mass updates of member data and/or records for maintenance of data integrity using MS SQL.
Maintains the highest possible level of data quality and integrity in the organization’s database(s) by managing the electronic data exchange process or data input; managing and performing routine maintenance procedures to detect and correct duplications, errors, bad addresses and other data quality issues.
Applies technical knowledge and resource management experience, working with department staff and technology providers, to achieve the smooth integration of newly acquired technologies with existing technologies and to minimize disruption of staff work.
Conducts interviews with staff to aid in problem definition, feasibility studies and analysis of systems.
Reports any inconsistencies with database management and member experiences by performing regularly scheduled reviews of IDA’s processes to ensure they reflect the needs of users and enhances member experience.
Manages outside vendor relationships that are essential to the maintenance of data and/or database(s).
Supports all internal team members and departments following the organization’s mission and values while promoting the organizational culture.
Works as part of the team to accomplish the organization and departmental goals.
Coordinates department resources in accordance with IDA policies and procedures.
Ensures staff members are familiar with data management protocols and tools.
Responsible for vendor management of contract agreements, outreach and communication on service needs and results of vendor service outcomes. Vendors include but are not limited to those for IDA AMS, event app, outside IT and other vendors.
Performs other duties as assigned for the success of the organization.
North American travel requirements of up to 15% annually.
ESSENTIAL USE OF TOOLS:
Solid understanding, display of skill, and knowledge of computer software and online products including Microsoft Office 365 (Word, Excel, Access, Outlook, PowerPoint); all network integration between IDA systems, document management systems (SharePoint preferred); content management systems (WordPress preferred); online meeting platforms. (GoToWebinar, Zoom, Teams)
Deep and technical working knowledge of customer relationship management (CRM) systems and association management software. (AMS) (Impexium a plus)
Strong capabilities in the use of all standard office equipment including computer, printer and all office equipment including the phone system.
Proficiency with CRM or AMS software (reporting and data management), experience with Impexium or Salesforce a plus.
3-5 years’ experience in SQL database, Python or other data management applications to include writing queries, developing reports, and analyzing data.
Trade association or membership organization experience preferred.
Strong background in database design and systems, database technology and logical data analysis.
Strong capabilities to analyze, interpret and organize large amounts of data.
Excellent communication skills to translate complex problems using non-technical terms.
In-depth understanding of modern database and information technologies.
Excellent , problem-solving and analytical skills.
Ability to compile and organize findings and data retrieved before presenting to management.
Ability to address/resolve internal and external database issues quickly, using a clear, thoughtful manner while demonstrating a “member-first” service perspective.
Ability to participate as a self-starting member of a small-staff association team. A “roll up your sleeves” attitude is a must.
Ability to work collaboratively and seek out information needed to accomplish projects and goals.
Excellent writing, editing, interpersonal and verbal communication skills required as well as the ability to quickly make decisions that reflect the interests of the organization and its members.
Must be able to work on multiple projects simultaneously and have strong organizational and project management skills.
Creative and innovative with the ability to work efficiently and meet deadlines. Proactive and positive approach to process improvement and learning on the fly.
