The International Association for Dental, Oral, and Craniofacial Research (IADR) and American Association for Dental, Oral, and Craniofacial Research (AADOCR)seek a creative, flexible, detail oriented Exhibits & Meeting Coordinator. This position is well suited for a mission driven, dynamic, high energy, and highly productive professional.
This position is designated as management-level “exempt” under the Fair Labor Standards Act.
Responsible for the sales of exhibition and meeting sponsorship, along with assistance in handling overall meeting logistics.
IADR/AADOCR is a hybrid office model with 50% of the time in the Alexandria, VA office and 50% of the time remote.
Responsibilities
Manage the Association meetings exhibit processes, to include creation of the Exhibitor Prospectus, Exhibit Space Floorplan, Service Kit, and Sponsorship Brochure in collaboration with marketing department.
Collaborate with the CEO on increasing exhibition and sponsorship.
Evaluate with Director of Meeting on setting annual exhibit and sponsorship sales goals.
Assist in the selection of exhibit hall vendors (General Services Contractor General Services Contractor, shipping, security, etc.)
Coordinate booth assignments and process all exhibitor requests.
Manage exhibition and exhibitors on site (from set-up to tear-down) including all events in hall.
Process and issue invoices to exhibitors for booth contracts, sponsorships and other billable items.
Lead staff member responsible for online database input, scheduling, specifications and updating, and report generation for all meetings.
Support ancillary events, logistics, catering, and budget reconciliation.
Requirements:
Minimum of three years of experience in exhibit sales or operations. Experience in a non-profit scientific, medical, dental, or professional society environment preferred.
Excellent organizational, verbal, written, and interpersonal skills with demonstrated effectiveness working in a team environment.
Available for domestic and international travel with a current passport.
Must be based in the DMV region and work approximately 50% of week in Alexandria, Virginia Headquarters.
All employees must have current CDC recommended COVID-19 vaccinations unless a medical or religious exemption.
Bachelor’s degree required.
CEM preferred.
