Position Summary
As the Coordinator of Operations & Projects, you will provide project coordination and administrative support to advance NSSGA’s work—tracking timelines and deliverables, supporting cross-functional communication, and helping ensure day-to-day operations run smoothly.
Responsibilities include main-line phone coverage, scheduling and meeting support, preparing agendas, capturing action items, maintaining project documentation, and assisting with event and membership logistics.
This role offers a flexible hybrid work environment in the Washington, DC, area. The ideal candidate is proactive, highly organized, service-oriented, and able to prioritize across competing requests.
Key Position Responsibilities
Operations and Project Coordination
Support day-to-day office operations and administrative functions.
Manage incoming calls to the main NSSGA line, mail and deliveries.
Maintain a welcoming, professional office environment.
Provide assistance as requested for meetings, including but not limited to arranging conference calls, note-taking, facilitating discussion groups, etc.
Support organizational projects and cross-functional initiatives.
Step in to assist with emerging priorities and time-sensitive needs.
Take ownership of tasks large and small to help the team succeed.
Government and Regulatory Affairs
Plan, coordinate, and track projects from initiation through completion, ensuring deadlines and deliverables are met.
Conduct research as needed.
Schedule and coordinate meetings, prepare agendas, and document action items.
Support cross-functional teams by facilitating communication and removing blockers.
Maintain a detailed record of invoices and match them against budgeted expenses to ensure fiscal accuracy and accountability.
Assist with inputting weekly actions into Policy Note.
Attend external meetings as needed.
Membership
Assist with database management (updating member records).
Assist in running queries and member lists for internal and external stakeholders.
Support member renewals and recruitment.
Collect, organize, and maintain data across spreadsheets, databases, or internal systems.
Maintain Meetings and Membership departments’ mailboxes and respond to inquiries within a timely manner.

Experience & Skill Requirements
At least 1 year of experience in an office environment.
Proficiency in data entry, spreadsheet tools, and project management software.
Strong verbal and written communication skills, including professional phone etiquette.
Excellent organizational skills and attention to detail.
Ability to prioritize and manage multiple tasks simultaneously.
Experience with data reporting or basic data analysis is a plus.
Strong problem-solving, troubleshooting, and follow-through abilities.
Tenacity and drive to learn and take on new tasks.
